Account and Organization Management in VwD

Managing your organization and user accounts effectively is critical for ensuring smooth collaboration and secure access to VwD. The platform provides a straightforward way to manage roles, permissions, and organizational settings, allowing teams to operate efficiently. This guide covers the essential features of VwD’s account and organization management tools, including adding members, managing roles, updating settings, and more.

Key Features of Account and Organization Management

User Roles and Permissions
VwD has predefined roles to control access and functionality:

  • Organization Admin: Full access to all features, including managing members and organizational settings.
  • Member: Can manage creators and campaigns but cannot access organizational settings.
  • Collaborator: external organization's invitee able to contribute into a shared list(s) in your organization.
  • Subscriber: external organization's invitee able to view a shared list(s) in your organization.

Unlimited Members
VwD currently allows you to add an unlimited number of members to your organization.

Organization Settings
Manage key settings such as organizational name, profile, scanning and monitoring limits, and email notifications.

Account Customization
Update personal settings like passwords, profile pictures, and contact information.

How to Manage Members in VwD

Adding New Members

  1. Navigate to the "My Organization" section from the main menu.
  2. Click "+"
  3. Enter the member’s:
    • Name
    • Email Address
    • Role: Select either Organization Admin or Member.
  1. Click "Invite."
    The invited user will receive an email with instructions to set up their account.

Viewing and Editing Member Roles

  1. In the "My Organization" section, you’ll see a list of all members.
  2. Click the edit icon next to a member’s name to:
    • Change their name.
    • Change their role.
    • Update their email address.
    • If Collaborator or Subscriber is edited, change the list(s) in your organization they have access to.

Note: Only Organization Admins can edit roles and member details.

Removing Members

  1. Navigate to the "My Organization" section.
  2. Click the trash icon next to the member you want to remove.
  3. Confirm the action in the pop-up dialog.

How to Update Organizational Settings

Changing Your Organization’s Name

  1. In the "My Organization" section, click the Edit icon near its name.
  2. Edit the organization name and save changes.

Managing Email Notifications

  1. Navigate to the "My Team" section of the "My Organization" page.
  2. Check or uncheck the box in the Monitoring Alerts column to choose who among your organization will receive alerts from monitored creators.

Managing Your Personal Account

Updating Your Profile

  1. Click the Profile menu item in the left menu.
  2. Select "My Account."
  3. Update your name and profile picture.
  4. Save changes.

Changing Your Password

  1. In the "My Account" section, click "Change Password."
  2. Enter your current password, followed by the new password.
  3. Confirm the new password and save changes.

Resetting Your Password

If you forget your password:

  1. Click "Forgot Password" on the login screen.
  2. Enter your registered email address.
  3. Follow the instructions in the email to reset your password.

Best Practices for Account and Organization Management

Assign Roles Thoughtfully
Limit the number of Organization Admins to reduce the risk of unauthorized changes to settings.

Review Members Regularly
Periodically check and update member roles and permissions to ensure they align with your current needs.

Encourage Secure Passwords
Ask all members to use strong, unique passwords for their accounts.

Update Contact Information
Ensure all member emails and organization details are accurate to avoid missing important notifications.

Not currently. VwD has predefined roles, but custom roles and permissions are planned for future updates.

Q: Is there a limit to the number of members I can add?

No, VwD supports unlimited members for each organization.

Q: Can members access organizational settings?

No, only Organization Admins can manage organizational settings.

Q: How do I transfer the Organization Admin role?

Edit the role of the existing admin to Member, and assign the Organization Admin role to another member.
